Trust & Security
Talk2Apply, Inc.
Talk2Apply is designed to support secure, privacy-conscious recruitment and higher education enrollment workflows across chat, voice, SMS, email, scheduling, and structured data delivery.
Our approach is simple: collect and process the information needed to support configured workflows, use established service providers, and maintain safeguards appropriate to the service we provide.
1. How We Protect Data
Talk2Apply uses technical and organizational safeguards designed to protect personal information and service data from unauthorized access, misuse, loss, alteration, or disclosure.
Our security approach includes:
- Encrypted connections using HTTPS/TLS
- Encryption at rest through our infrastructure providers
- Controlled access to production systems and service accounts
- Secure authentication and credential management
- Separation between customer-facing application workflows and administrative systems
- Use of established cloud, communications, database, voice, and AI service providers
- Ongoing review of security and privacy practices as the platform evolves
Talk2Apply also relies on security controls provided by key infrastructure and technology providers.
2. Where Data Is Processed and Stored
Talk2Apply stores its application and workflow data in the United States.
Customer, candidate, and student information may also be processed by service providers supporting voice, transcription, AI, telecommunications, email, hosting, scheduling, and other configured workflows. Those providers may process data in the United States or other locations where they operate.
Where information is delivered to an employer, staffing organization, educational institution, ATS, CRM, admissions system, scheduling platform, or other customer-controlled system, that organization's own security, privacy, and retention practices apply.
3. AI and Voice Data Handling
Talk2Apply uses AI-assisted technologies to support conversations, summarize responses, organize information, answer configured questions, and generate structured workflow signals.
Talk2Apply does not use candidate, student, or customer workflow data to train general-purpose AI models.
Depending on the configured workflow, Talk2Apply may use AI services provided by OpenAI, Anthropic, Google, or other approved technology providers.
AI voice interactions may be recorded and transcribed from the beginning of the call. A recording and transcription notice is provided at the start of the interaction.
Talk2Apply does not intentionally store call audio in its own application database.
Voice recordings, transcripts, and related call data may be processed by voice and communications service providers as part of delivering the interaction. Those providers may retain certain data under their own service configurations and retention practices.
Talk2Apply may retain transcripts, intake information, summaries, and related workflow information as described below.
4. Data Retention
Talk2Apply may retain intake data, transcripts, summaries, and related workflow information for up to 90 days where reasonably necessary for operational support, reconciliation, troubleshooting, and service delivery.
Where an individual has opted into future-interest or re-engagement communications and the customer has configured that workflow, Talk2Apply may retain limited contact, interest, consent, and related workflow information for a longer period reasonably necessary to support that purpose.
Talk2Apply does not intentionally retain call audio in its own application database.
Certain records, including consent records, security logs, transaction records, dispute-resolution information, or records required by law, may be retained for longer where reasonably necessary.
Service providers may retain data for different periods based on their own service configurations, contractual terms, and legal obligations.
5. Subprocessors and Service Providers
Talk2Apply uses third-party service providers to operate and support the platform.

6. Third-Party Security and Oversight
Talk2Apply uses established third-party providers to support infrastructure, AI, voice, communications, email, database, and related services.
Talk2Apply reviews relevant provider security and privacy practices and relies on contractual and technical safeguards appropriate to the services used. Each provider also maintains its own security and operational controls.
Links to third-party security, privacy, or trust resources may be provided for transparency and do not represent Talk2Apply certifications or guarantees.
